Hill Country Community Needs Council (HCCNC) needed a nonprofit Microsoft 365 and security upgrade. However, every donated dollar was already going to the people it serves. So Weaver donated the services, software and support to modernize its IT at no cost.
The challenge: one IT staffer and no central storage
Founded in 1983, HCCNC coordinates 28 programs for families, children and the elderly in Gillespie County. Each year, it serves more than 4,000 people. Local businesses, residents and schools support its work. Law enforcement and the Gillespie County Ministerial Alliance also play a part.
Because the council runs mostly on donations, its funds go to programs first. As a result, its IT had fallen behind. The council first called Weaver for helpdesk support, since its only IT staff member was overwhelmed. During an on-site visit, our team found outdated technology and no central data storage.
Our approach to a nonprofit Microsoft 365 upgrade
Weaver kept the plan practical and matched it to the council’s budget. In fact, we chose to donate all of the services, software and support the project needed.
The plan had four parts. First, we assessed the existing environment. Next, we moved the council to Microsoft 365. Then, we added stronger security on every computer. Finally, we trained staff so they could run the new setup with confidence.
What Weaver delivered
- Microsoft 365 migration. We moved email to Microsoft 365 and gave the council central, secure data storage.
- Multi-factor authentication. We turned on MFA to protect staff accounts.
- Bitdefender virus protection. We installed it on every computer.
- Hardware put back to work. We repaired a computer that had been written off, so the council could use every resource it had.
- Training and ongoing support. Staff learned how to maintain the new environment on their own.

Results: more time for the people they serve
Today, HCCNC has central, secure data storage. In addition, staff can collaborate and communicate more easily. IT now runs smoothly, so time once spent on technology problems goes back to serving clients.
Most importantly, the nonprofit Microsoft 365 and security upgrade cost the council nothing. That kept its donations focused on families in need.
“Our mission is to empower organizations like HCCNC with the right IT solutions to enhance their operations and service delivery. This project is a testament to our commitment to making a positive impact in the community.”

A common challenge for community nonprofits
Nonprofits put their resources into the people they serve. For that reason, IT often runs on one staff member or a few volunteers. Still, a few basics go a long way toward protecting the mission. A nonprofit Microsoft 365 setup with central storage, MFA and antivirus is a strong start. Microsoft also offers programs for nonprofits that can help stretch a tight budget.
